Who we are
WasteDoc is operated by Velara HSEC Ltd. We provide a digital tool for waste carriers to create legally compliant waste transfer notes.
What data we collect
- Account details: email address and password (encrypted)
- Carrier profile: company name, address, registration number, logo
- Waste transfer notes: producer names, addresses, contact details, waste descriptions, EWC codes, quantities
Why we collect it
We process your data to provide the waste transfer note service. Waste transfer notes are a legal requirement under the Environmental Protection (Duty of Care) Regulations 1991 (England) and 2014 (Scotland). Our lawful basis for processing is:
- Legal obligation: waste carriers are legally required to produce and retain waste transfer notes
- Contract: to provide the service you signed up for
Where your data is stored
All data is stored in the United Kingdom (AWS eu-west-2, London) via our database provider Supabase. Data is encrypted at rest and in transit. We do not transfer your data outside the UK.
Data retention
Waste transfer notes must be retained for a minimum of 2 years as required by law. After this period, you may request deletion of your notes. Account data is retained for as long as your account is active.
Your rights
Under UK GDPR, you have the right to:
- Access your personal data
- Rectify inaccurate data
- Request deletion (subject to the 2-year legal retention period for waste transfer notes)
- Export your data (CSV export is available in the app)
- Object to processing
Third parties
- Supabase: database and authentication (UK region)
- Stripe: payment processing (if subscribed)
- Resend: email delivery of waste transfer notes
We do not sell your data or use it for marketing purposes.
Subscription, Cancellation & Refunds
WasteDoc offers a free tier (10 notes) and an unlimited subscription at £9.99/month. Subscriptions are billed monthly via Stripe.
- Cancel anytime: you can cancel your subscription at any time from your Profile page. Your access continues until the end of the current billing period.
- No long-term commitment: there are no contracts or cancellation fees.
- Refunds: if you believe you have been charged in error, contact us within 14 days of the charge and we will review and issue a refund where appropriate.
